Each coach has an individual availability schedule containing lesson blocks, class assignments, and messages. The coach may set up his/her own schedule, or modify the schedule created by the manager.
This article explains how to set up lesson blocks and messages. For information about setting up classes, please see Assigning instructors to classes.
About availability blocks
There are two types of blocks created on the availability schedule: lesson blocks and message blocks.
Lesson blocks
Lessons blocks specify the times a coach is available for lessons. Calendar sections that have a lesson block in them will be shown as “available” to customers. Lesson block rules only apply to customers; coaches and managers are always allowed to book lessons regardless of availability.
Message blocks
Messages are used to display a short message at a specific time on the calendar. They are visible to all customers and staff.
How to view a coach’s availability schedule
- In Availability menu, click Coach.
- Select a coach.
Create blocks on the schedule
You can create an unlimited number of lesson and message blocks on a coach’s schedule.
- Click and drag a time slot on the calendar.
- Select an option from the Block Type drop-down. You can also edit the Time option if you need to schedule times outside the calendar boundaries.
- Next to Repeats, select Repeats weekly if this is a recurring block, and then select the days of the week and the last recurrence date.
- Click Add Block.
Create additional blocks
Repeat the steps above for each additional block you wish to add.
Clear recurring blocks on holidays
You may wish to delete specific recurring blocks on holidays or other dates the club may be closed.
- Navigate to a future week by using the week navigator on the left.
- Click on a lesson or message block.
- Click Remove Block to confirm.
Set up additional coaches
Each coach’s availability schedule is separate. Repeat the steps above for any additional availability schedules you wish to set up.
Review
The availability schedule(s) you set up are now visible on the calendar to customers and staff. Go to the Calendar to see how the schedule looks and confirm that the availability is displayed.
Note
Availability past the Maximum Booking Date policy option will not be shown on the calendar.
