Canceling lessons involves finding the lesson on the calendar and then selecting the cancel option.

Staff canceling a lesson will have the option to charge the customer for the cancellation, as well as add notes about the cancellation.

In order for customers to cancel a lesson, they must abide by scheduling policies.

Cancel a lesson

  1. In the Calendar menu, click Day. In this example we’ll use the Day calendar, however you can also use the Week calendar.
  2. Select a date by using the date navigator on the left side of the page.
  3. Click on the lesson you wish to cancel.
  4. Click Cancel Lesson.

Select different cancellation options

Staff may choose whether to charge the customer for the cancellation, whether to cancel a repeating lesson, and enter notes.

  1. On the Day or Week calendar, click on the lesson you wish to cancel.
  2. Click Cancel Options.
  3. Select the following options to change how the lesson is canceled.
  • Repeats - Select whether to cancel just this lesson or the entire repeating series of lessons. This option will only appear if the lesson is repeating.
  • Late Cancellation - Select whether this cancellation is considered late. Typically, it is recommended to choose the Decide based on cancellation time option, which will automatically calculate whether the cancellation is late based on lesson policies. However, you may choose Record as late or Record as not late to override this decision.
  • Notes - Enter notes about the cancellation. The notes will appear in any email notifications sent to the customer, as well as included in reports.
  1. Click Cancel Lesson.

Shortcut menu

You can also cancel lessons directly from the calendar without navigating through the popup window. From the calendar, right-click on the lesson, and then click Cancel Lesson on the menu.

Reverse the charge on a late cancellation

Lessons that are canceled late may have their status set to either Canceled or Canceled with a charge, depending on your scheduling policies. Lessons that are canceled with a charge may have their charge reversed, which will change the lesson’s status from Canceled with charge to Canceled.

  1. In the Users menu, click Fencers.
  2. Click Details next to the student.
  3. On the left, click Lessons.
  4. Click Canceled ($).
  5. Next to the lesson, click Remove Charge.
